Recurring Payment Agreement
Version 2026.10.3 — effective October 1, 2026. This Recurring Payment Agreement ("Agreement") is between you (the customer named on the BooksAuto account, and the person accepting it on its behalf) and Ruchi Software Solutions ("BooksAuto", "we"). It forms part of the BooksAuto Terms of Service.
1. What you authorize
You authorize BooksAuto, through its payment processor Stripe, to charge the card you provide (or any card you later add) for: (a) the amount shown on the payment page on the day you pay; and (b) the recurring charges for every company on your account, automatically on your billing date, until you cancel. You confirm that you are authorized to use the card and to bind the account holder to this Agreement.
2. Billing date, periods and amounts
Your account has one billing date (the day of the month of your first payment, at most the 28th). Companies on monthly billing are charged together on that date every month. Companies on yearly billing are charged together once a year on the same date; a yearly period costs 12 times the monthly price. First-year offer: unless you are an approved accounting firm, the Payroll and Bookkeeping modules are 50% off for one year from the day your account was created (the offer never applies to Scheduling or to Online + Windows); after that year the regular price applies automatically, and we remind you by email beforehand. Approved accounting firms pay the accounting-firm price shown on the payment page instead (no other discount applies to it), are billed monthly, and the first charge for each company they add covers its first 3 months. When you add a company, add a module or move to a bigger package during a period, you are charged right away for the days left until that company's next billing date, so everything renews together. Downgrades, removed modules and switches between monthly and yearly take effect on the next billing date, with no credit for the current period. Prices are in Canadian dollars; applicable sales taxes are added. The price of each company stays the same while you keep it on the same package; we give at least 30 days' notice by email before any price increase applies to you.
3. Receipts and reminders
We email a receipt for every charge and a reminder 30 days and 7 days before every yearly renewal. Your invoices, card, billing date and every company's plan are always shown on the Subscription page of your account.
4. Your responsibility to cancel
Your subscription continues and renews automatically until you cancel it. It is your responsibility to cancel companies or your account you no longer want, before the next billing date, using the Cancel buttons on the Subscription page (online or in the Windows app). Not using BooksAuto does not cancel your subscription. Charges made on a subscription you did not cancel are your responsibility and are not refundable, except as set out in section 5.
5. Cancellation
Monthly billing: no refund or credit is given for the current month. The company remains usable until the end of the month you have paid for and is then kept read-only (nothing is deleted). For an accounting firm's company still in its first 3 months, the whole first charge is kept (no refund) and the company remains usable until the end of that period.
Yearly billing: the company remains usable until the end of the billing month in which you cancel. We keep: (a) every month used in the current yearly term, charged at the full monthly price (if the first-year offer applied, the earlier months keep it; the month in which you cancel is charged at the full price); and (b) a cancellation charge equal to 3 months at the full monthly price. Any amount you paid for the term above that is refunded to the original payment method. If nothing is left, no refund is due — you are never charged more than you already paid for the term.
Whole account: a request to cancel your account is recorded immediately and the rules above apply to each company on it; any balance due to you is refunded to the original payment method. You receive a confirmation email with a reference number.
6. Failed payments
If a charge fails we email you and retry for about 14 days. If it still fails, your companies become read-only (nothing is deleted) until the amount is paid with an updated card.
7. Free trial
A free trial includes one company. Adding a second company, or keeping the trial company after the trial, requires payment for each company you keep; the trial company becomes read-only if not paid for.
8. Disputes
If you have a question about a charge, contact us first at support@booksauto.online — most questions are resolved within one business day. You agree that, before disputing a charge with your bank, you will give us a reasonable opportunity to resolve it. We keep a record of your acceptance of this Agreement (date, time, IP address, the version accepted and the amount), your receipts and our reminders, and may provide them to Stripe and your bank in response to a dispute. Charges that are disputed after a valid authorization may lead to the account being suspended until resolved.
9. Changes to this Agreement
We may update this Agreement for future charges with at least 30 days' notice by email. The version you accepted is recorded with each payment.
10. Law
This Agreement is governed by the laws of British Columbia and the federal laws of Canada that apply there. Nothing in it limits rights you have under consumer protection laws that cannot be waived.
11. When your accountant manages your plan
An accounting or bookkeeping firm may use BooksAuto for your company and ask you to pay for its plan directly. If you accept: (a) you authorize the charges in section 1 for the plan the firm chose for your company, including changes the firm makes to it, charged as section 2 describes; (b) the firm manages the plan and is the one who can change or cancel it — ask them, and the cancellation rules in section 5 apply, with any refund going back to your card; (c) your card is charged on your own billing day, and you can update your card and see your receipts on your payment page at any time; (d) receipts and notices are sent to you, with a copy to the firm; (e) paying does not give you access to BooksAuto — the firm's work for you is between you and the firm; (f) if a payment fails and is not fixed (section 6), the company becomes read-only for the firm. Charges made before the plan is cancelled are your responsibility and are not refundable except as section 5 says.
