Terms of Service
Version 2026.10 — effective October 1, 2026. These Terms of Service ("Terms") govern your use of BooksAuto online and BooksAuto for Windows, provided by Ruchi Software Solutions ("BooksAuto", "we").
1. Accounts
You must give accurate information and keep your sign-in details secure. You are responsible for everything done under your account, including by staff you invite. You must be authorized to act for the business named on the account.
2. The service
BooksAuto is software that helps you calculate payroll, prepare remittances and slips, and manage documents. It uses the formulas and tables published by the Canada Revenue Agency and provincial authorities as they are made available to us. You remain responsible for reviewing every pay run, remittance, filing and slip, for the information you enter, and for meeting your legal and filing obligations. BooksAuto is not a payroll service bureau and does not file or remit on your behalf unless it clearly says so.
3. Fees
Each company on your account has a plan with the modules you choose (Payroll, Bookkeeping, Scheduling) and where it is used (online, the Windows app, or both). Fees, renewals, upgrades, downgrades, cancellations and refunds are governed by the Recurring Payment Agreement, which forms part of these Terms.
4. Your data
Your data belongs to you. We store online data encrypted, keep backups, and only access it to provide and support the service, to comply with law, or with your permission. With BooksAuto for Windows, company files are stored on your computer and you are responsible for that computer's security and backups (BooksAuto makes automatic backups). You can export your data while your account is active, and for 90 days after it closes on request.
5. Acceptable use
Do not misuse the service, attempt to access other customers' data, interfere with its security, or resell it without our written permission.
6. Availability and changes
We aim for high availability but do not guarantee the service will be uninterrupted. We may improve or change features; we will not remove core payroll features you pay for during a paid period without notice and a fair remedy. BooksAuto for Windows updates itself automatically so it always matches the online service.
7. Limitation of liability
To the extent the law allows: the service is provided "as is"; we are not liable for indirect, incidental, special or consequential losses, lost profits, penalties or interest charged by any authority, or losses caused by information you entered or by not reviewing results; and our total liability for any claim is limited to the fees you paid for the service in the 12 months before the claim.
8. Suspension and termination
We may suspend an account for non-payment, misuse or a security risk. You may cancel at any time as described in the Recurring Payment Agreement.
9. Law and contact
These Terms are governed by the laws of British Columbia and the federal laws of Canada that apply there, and the courts of British Columbia have jurisdiction. Nothing limits rights you have under consumer protection laws that cannot be waived. Questions: support@booksauto.online.
